School Rental Policy

The primary use of the school facilities is for the educational instruction of the parishioners of St. Columban parish, then parish functions and activities of parish ministries. However, groups may rent the gym and cafeteria for non-parish sponsored functions if the event or activity does not interfere with a school or parish function. If it is a cultural event or activity for the local community, rent may not be assessed at the discretion of the pastor and facilities manager. All rentals are subject to approval by the Pastor and facilities manager.

RENTAL POLICIES

A rental agreement must be signed by the person actually using the facility and responsible for making the financial arrangements.

Arrangements must be made with the parish office to pick up the key. The facility will not be available until after school hours. If the gym is rented for a  wedding reception on Saturday, you may not begin using the facility until 3:30 p.m. on Friday. This also applies to times when school is not in session. The rental for wedding receptions is from 3:30 p.m. on Friday to 12:30 a.m. on Sunday. All personal effects must be removed by 12:30 a.m. Sunday. After this time, the professional cleaning service is free to dispose of anything left over.

The rental fees are per day with the exception of the above mentioned wedding reception fee schedule.

The key must be returned to the parish office the next business day. Please set up a time so someone will be in the office to accept the key.

All rentals will be charged a refundable security deposit which will be deposited at the time of payment and signing of lease agreement. The security deposit will be returned by mail after a thorough inspection has taken place. Any and all damages or loss will be deducted from the security deposit.

All persons renting the facilities must have special events coverage for non-parish sponsored events. The individual or organization has two choices, either (1) provide a certificate of insurance naming the parish/school as additional insured for at least $1,000,000.00 or (2) purchase the “Special Events” insurance through our Diocesan Insurance Provider. The cost of this insurance is $150.00 per event. A certificate of insurance or a check in the amount of $150.00 made payable to Arthur J. Gallagher Risk Management Services must be presented to the facilities manager at the time of signing the rental agreement which must be at least three weeks before the event. This fee is subject to change by notice of the Diocese.

Saint Columban Parish shall assume no liability for the loss, damage or return of any items of personal property brought onto the premises by the renters or any of their guests. Renters shall assume all liability and risk of loss for any loss or damage to items of personal property brought onto premises by any member of the renters party or any of their guests. St. Columban Parish will assume no liability for the loss or damage of vehicles parked in the church/school parking lots by the renters or any of their guests.

If an organization or family serves alcohol, the sponsoring organization or family shall take full responsibility for any consequences. Absolutely NO ONE under 21 years of age can be served alcoholic beverages.

No access to the food pantry in the kitchen is allowed at any time.

The kitchen is not to be used for cooking, but only as a staging area by an outside caterer or the family bringing food in that has been prepared off site. Staging means the use of the countertops, available refrigeration, ice from the ice machine and sinks. The ovens, stove, dishwasher and any other equipment or utensils cannot be used. There will be a separate rental fee for the use of the kitchen if food preparation is necessary, including use by your caterer. During the inspection, if the dishwasher is not working properly after your rental, the cost of repair will be deducted from your security deposit.

Absolutely no cooking is to be done in the parking lot.

If an outdoor grill, smoker, or cooker is utilized, the appliance must be set up outside the west kitchen door behind the school.

Absolutely no tents are to be set up outside the premises. You are renting the gym, cafeteria, tables, chairs, and bathrooms, only with parking privileges on the lot.

The library and classroom area are not included in the rental.

We use a professional cleaning service. The cleaning fee is charged to all rentals. Our cleaning service must be used.

All groups and individuals using St. Columban facilities are expected to behave courteously and respectfully to each other, and to others on the premises or in the surrounding neighborhood. St. Columban is situated in a residential neighborhood and values its ties to its friends and neighbors. Loud and boisterous activity in the parking lot and parish grounds is inappropriate and unacceptable.

Renter agrees to have all personal items removed and vacate the premises by 12:30 AM.

Children must have adult (age 21 or over) supervision at all times by at least two adults. This includes student aged sports teams and dance groups using the gym.

Renters must secure the building after the event or activity, turning off all lights, turning off the air conditioning or heating, and locking all doors.

Please make two separate checks. The rental and security deposit check made payable to St. Columban Church and one $150 check made payable to Arthur J. Gallagher Risk Management Services. St. Columbans will write you a reimbursement check for the security deposit after it has been determined that all policies were followed and no damage was done to the premises.

  • An active parishioner is defined as a registered parishioner that regularly attends Mass and contributes on a regular basis for the previous 12 or more months.
  • A parishioner is defined as a registered parishioner who may or may not be attending Mass and is not contributing to the support of the church.
  • A non-parishioner is defined as anyone not registered in the parish.

Kitchen use with any above rental $500.00 + additional cleaning fee $200.00 = $700.00.

RENTAL CLEAN-UP CHECKLIST

1. Make sure all trash is taken out at the end of the event. Trash bags are not provided, please supply your own. CMU orange bags are not needed. Trash bags are to be placed in the plastic, rolling, containers outside.

2. Make sure all trash cans are put back where they belong or where you found them. One in each bathroom, two by kitchen window in the cafeteria, three in the janitors area and the remaining by the boiler room door.

3. Sweep all entry rugs and place by the doors.

4. Make sure all floors are swept and mopped.

5. Make sure all faucets and stools are off, not running and not plugged, etc.

6. Make sure all lights are turned off. Be sure to check the restrooms and locker rooms.

7. Check cleanliness of bathrooms.

8. Put away all tables and chairs exactly where you got them. Make sure the outside storage area is locked.

9. Check for vandalism to bulletin boards in hallways, broken windows, and other damage to the building.

10. Air conditioners and heat are turned off.

11. If you borrowed an extension cord, please put it back where you found it. (In the boiler room).

12. Make sure all doors are barred and locked.

13. Please take care of things as if it were your own. Everything should be as you found it or in better shape, not worse.

Failure to follow the above will mean forfeiture of part or all of the deposit.
